Terms & Conditions Frontier Travel Vietnam

Please read these terms before booking your tour. They should be read together with your agreed itinerary, quotation and booking confirmation. Any special arrangements must be agreed in writing before payment.

1. Booking and Payment

To reserve your tour, a deposit equal to 30% of the agreed tour price is required. Payment can be made through the OnePay link provided by our team. Your reservation is confirmed when we verify receipt of the deposit and issue written confirmation.

The outstanding 70% is normally payable between 14 and 28 days before departure. Your specific payment deadline will be provided before you pay your deposit, taking account of accommodation arrangements and peak-season requirements.

For bookings made after the balance deadline, full payment is required to confirm the reservation.

Any payment processing charges that we apply will be disclosed before payment.

2. Tour Prices and Inclusions

Your quotation and confirmed itinerary specify the tour price, motorcycle, accommodation, meals, activities and support services included in your booking.

Optional upgrades, single rooms and additional services are included only where expressly confirmed. Any additional charges must be agreed before those services are booked.

Please check your booking details and tell us promptly if anything is incorrect.

3. Cancellation and Refund Policy

If you need to cancel, please notify us in writing by replying to your booking email or contacting info@frontiertravelvietnam.com.

For cancellations requested by you before departure, the following refund schedule applies:

• 30 days or more before departure: 100% refund of payments received for the cancelled tour booking.

• 15–29 days before departure: 50% refund of payments received for the cancelled tour booking.

• 14 days or less before departure: No refund.

These percentages are calculated on the amount you have paid to Frontier Travel Vietnam for the cancelled booking.

The cancellation date is the date we receive your written request, calculated using Vietnam local time and calendar days before the tour departure date.

We will confirm the refund amount and expected processing time by email. Where possible, refunds will be returned through the original payment method. Currency conversion by your bank may affect the amount received in your home currency.

4. Changes Requested by You

Please contact us as early as possible if you wish to change your travel dates, motorcycle, itinerary or participant details.

Changes depend on availability and supplier conditions. We will explain any price difference or additional cost and obtain your agreement before confirming a change. A request to change dates does not automatically transfer your booking.

If you choose to leave a tour early or skip an included service, a refund is not automatic. We will review any recoverable costs and confirm the outcome, subject to your rights under applicable law.

5. Changes or Cancellation by Frontier Travel Vietnam

Routes, daily distances, accommodation and activities may need to change because of weather, road conditions, closures or safety concerns. We will explain significant changes and seek suitable alternatives.

If we cancel your tour before departure for operational reasons within our control, you may choose an agreed alternative tour or a refund of all payments received for the cancelled tour.

If extraordinary events beyond our reasonable control prevent the tour from operating, we will explain the available alternatives and refund calculation in writing. Any deduction for services already supplied or unavoidable supplier costs must be documented, permitted by applicable law and consistent with terms disclosed before booking.

A travel credit in place of a cash refund requires your agreement.

6. Rider Requirements and Safety

Riders must hold the licences and permits legally recognised in Vietnam for the motorcycle they will ride. Requirements depend on the country issuing your licence and the motorcycle category. Please check your eligibility with our team and the relevant authorities before booking.

You must accurately describe your riding experience so we can assess whether the proposed route is suitable.

During the tour, riders must wear a helmet and appropriate protective equipment, follow traffic laws and reasonable safety instructions, and avoid riding under the influence of alcohol or drugs.

Our guide may stop a participant from riding where there is a serious safety concern. We will discuss available alternatives and explain any associated costs.

7. Travel Insurance and Health

Travel insurance covering your participation in the motorcycle tour is required.

Please obtain confirmation from your insurer that your policy covers the motorcycle engine size, planned riding activities, medical treatment, emergency evacuation and repatriation. Check any exclusions relating to off-road riding, licensing or pre-existing medical conditions.

Tell us before booking about any health condition or accessibility requirement that may affect your safe participation.

Any insurance arranged by Frontier Travel Vietnam will be identified separately in your booking documents, with its coverage and limitations.

8. Motorcycles and Damage

Please inspect your motorcycle with our team before departure and report any existing damage. Report mechanical problems or new damage promptly during the tour.

Normal wear and tear and mechanical faults not caused by the rider will not be charged to the rider.

Any responsibility for accidental damage, loss or misuse must follow the motorcycle agreement supplied before booking. Charges must be supported by an explanation and reasonable evidence of repair or replacement costs.

Optional motorcycle damage protection, where available, has separate conditions, exclusions and excesses. It does not replace personal travel or medical insurance.

9. Our Responsibilities and Your Rights

Motorcycle touring involves risks associated with traffic, terrain, weather and remote locations. We will exercise reasonable care in organising and delivering the agreed services, and participants must follow reasonable safety guidance.

Nothing in these terms excludes responsibility or limits consumer rights where this is not permitted by applicable law.

If you experience a problem, please inform your guide or our office promptly so we have an opportunity to help. Unresolved concerns can be submitted by email with your booking details.

The version of these terms accepted when you book applies to your reservation. Later website updates will not automatically change an existing booking.
